Nine tools that want to be the one place a small team plans and works with AI, scored on nine things. EVY, ChatGPT Business and Notion Business come out level at the top. Change what matters to you and the order changes with it.
your team's work lives in docs, wikis and databases, or you need Windows and phones.
you want one strong AI for everyone, with agents and coding included. Choose Claude when agents and coding matter most.
you run more than one thing, work on Macs and already pay for Claude or ChatGPT. EVY plans the day and hands the work to that plan, for nothing extra.
your day runs on tasks and sprints (ClickUp), or on Gmail (Google) or Outlook and Office files (Microsoft).
From $0 (EVY) to $320 a month (Microsoft 365 Copilot), billed yearly with the AI included. $200 is the going rate for Notion, ChatGPT Business and Claude Team.
Each score runs from 0 to 4 against a published rubric. Pick the weighting closest to your team, or set your own, and the ranking updates.
Every criterion counts the same.

On equal weights EVY ranks 1st of 9 with 75 points, level with the leaders. It ranks 1st when you weigh "Several projects, own AI plan" and 9th when you weigh "Windows or mixed devices". Both are true, which is why the weights are yours to change.

A score compresses a lot. Here is what sits behind EVY's Planning, Agents, Voice and Knowledge marks, shown from the app.
Most workspaces store tasks. EVY decides what comes first each morning, splits the day between your companies and projects, and moves work when something runs over. It is the part the Planning column rewards.
How the AI chief of staff works →Morning. Fernway gets half the day: the Olea pitch is on Thursday, so Write the pitch story comes first, and Claude takes Pull three hotel case studies. Saltmarsh needs half an hour: Approve the October menu before it goes to print. Kiln & Co. can run on Auto today.
Done. Wednesday’s two Fernway tasks moved to the morning, and I told Mara.
Tasks go to Claude Code, Codex or Hermes on your Mac, with the plan and your company knowledge loaded. Each agent works in the open, asks when it is stuck and hands back a result you check. There is no second AI bill.
How agents work through your To-do →Notes, decisions and context live as Markdown in a folder per space. Agents read them before every task, and any other AI or tool can read them too. If you stop using EVY, the files stay.
How company knowledge works →Start with Okta. Brightpath uses it, and so do two of the five leads…
Ana, Ravi and Mia from Brightpath. CSV export is done, sign-on next…
Three workshops in November, one for each team, starting with support…
Renews on 1 December. They want annual billing and two more seats…
Six calls. Four left because setup took too long for a small team…
Agenda goes in the invite. EVY files the notes here after the call…
Above 50 seats we offer annual only, with sign-on included…
40 seats on the annual plan, signed 14 March by their head of product…
Start with Okta. Brightpath uses it, and so do two of the five leads in the pipeline. Google Workspace is the quicker build and can follow in December.

All of it free for you and your whole team. Mac only for now.
On the wayWindowsA phone companion appAsk EVY from Slack or Telegram
A free Mac app, for you and your whole team. Each space (one per company or project) holds goals and initiatives, and EVY plans the day with you at a morning check-in. Tasks go to people or to agents: Claude Code, Codex or Hermes do them on the AI plan you already have, with the plan and your company's knowledge handed over.
Price: $0 for the whole team (free, on AI plans you already have).
Falls short: Mac only for now, with Windows coming. No custom databases or big wikis. The youngest tool here, with a fraction of the integrations and track record of the others. You need a Claude or ChatGPT plan, or a Hermes agent, to put agents to work. How agents work through your To-do →
Every seat gets ChatGPT, ChatGPT Work and Codex on web, desktop and mobile. It connects to Microsoft 365, Google Drive, Slack, GitHub, Linear and Figma, and teams can build plugins on their company knowledge.
Price: $200 a month for 10 people ($20 a user, billed yearly).
Falls short: An AI first and a workspace second. There is no team task list or goals, so planning still lives elsewhere.
Still the shared brain most small teams reach for. The Business plan carries Notion Agent, AI Meeting Notes and Enterprise Search, with Custom Agents on top at $10 per 1,000 credits.
Price: $200 a month for 10 people ($20 a member, billed yearly).
Falls short: The AI is Notion's and billed by Notion, on top of whatever Claude or ChatGPT plan the team has. You build your own planning system from templates and keep it alive yourself. EVY vs Notion AI →
Claude Code and Claude Cowork on every seat, plus Claude Design, Slides and Docs, enterprise search across the organisation and the Microsoft 365 integration. Claude's pricing page now says "Claude Cowork is now just Claude", so agent mode is folding into the main app.
Price: $200 a month for 10 people ($20 a seat, billed yearly).
Falls short: Like ChatGPT, it has no shared plan or task list, so the plan lives somewhere else.
Tasks, docs, chat and dashboards in one app. The Brain AI add-on brings Brain Assistant, the @Brain Agent and AI chat with Claude, ChatGPT and Gemini models inside ClickUp. Super Agents and the AI Notetaker come with the Everything AI add-on at $28 a user.
Price: $160 a month for 10 people (Unlimited $7 plus Brain AI $9, per user, billed yearly).
Falls short: Two price lists (the plan and the AI) plus credits for agent work. It is a lot of app for a team of four.
Every Business plan now includes Gemini: in Gmail, as a chat assistant and in Google Vids. For a team that already pays for Workspace email, the AI comes at no extra seat cost, which makes it the cheapest AI here per person.
Price: $140 a month for 10 people (Business Standard $14 a user).
Falls short: Gemini helps inside each app but does not run the team's plan, and agents that finish work across apps are thin next to Claude or ChatGPT.
Copilot Business adds Copilot to Word, Excel, Outlook and Teams, with Copilot Studio for building agents. Copilot Business is $21 a user a month billed yearly (on offer for $18 right now), on top of a Microsoft 365 plan.
Price: $320 a month for 10 people (Business Premium with Copilot, $32 a user).
Falls short: The most expensive option here, and it only pays off if the team already works in Office files. Anthropic models offered inside Copilot run outside Microsoft's EU Data Boundary.
Projects, docs, AI agents, automations and small AI apps, with a Business plan that includes unlimited users. That makes it the cheapest team plan here by a distance.
Price: $25 a month for 10 people (Business, unlimited users).
Falls short: The AI runs on Taskade's credits, and heavy agent use means buying packs. A smaller company with a smaller ecosystem than everyone above it.
The AI task planner puts the team's tasks into their calendars, next to meetings. It also has projects, docs, a wiki and AI chat, with 7,500 AI credits per seat a month on Pro AI.
Price: $190 a month for 10 people (Pro AI $19 a seat, billed yearly).
Falls short: Priced per seat like Notion, with its own AI credits. The planning is about time slots, and agents that do the work are limited. Motion alternatives →
We make EVY, so the method is published and the order is computed, never placed by hand.

An AI workspace is the app where a team keeps its plans, docs and tasks, with AI that can read all of it and act on it. Notion, ClickUp, Google Workspace and Microsoft 365 added AI to documents and tasks. ChatGPT Business and Claude Team start from the AI and give a team shared agents. EVY plans the work and hands tasks to Claude Code, Codex or Hermes.
EVY, ChatGPT Business and Notion Business score within 3.5 points of each other on equal weights, so the right pick depends on the team. Notion suits teams that live in docs and databases, ChatGPT Business or Claude Team suit teams that want one strong AI, and EVY suits Mac teams that run several projects on their own Claude or ChatGPT plan.
EVY is free for the whole team, with no paid plan, and runs its agents on your own Claude or ChatGPT plan, or on a Hermes agent. It is a Mac app, with Windows coming. Notion and ClickUp have free plans with a limited AI trial, and Taskade has a free plan too.
For a team of 2 or 3 that mostly writes, researches and codes, the best AI assistant on a team plan is often enough. Once you have goals, a task list and company knowledge that the AI should know about, you need somewhere to keep them, which is the job of a workspace like Notion, ClickUp or EVY.
Notion (Notion Agent, AI Meeting Notes), ClickUp (Brain AI add-on, $9 a user a month), Google Workspace (Gemini in every Business plan), Microsoft 365 (Copilot Business add-on, $21 a user a month), Motion (AI planner and calendar) and Taskade (AI agents and automations). Slack and Asana also have AI, and they work best next to one of these.
Yes, for well-scoped tasks. Claude Code, Claude Cowork, Codex and ChatGPT Work research, write, edit files and run multi-step jobs on a computer. The hard part is giving them the plan and the context, which is why the scorecard weighs planning and knowledge next to the agents themselves.
You shouldn't have to. Every tool is scored on the same rubric, every score has its reason next to it, and the weights are equal until you change them. EVY ranks 9th of 9 when you weigh Windows, integrations and team features, and the page says where EVY is the wrong pick. Spot a score that is out of date and we will fix it.
